Prepare payment applications using project records

We take off your hands: pulling the monthly payment application together and finding backup for every line.

You get: a near-complete draft application in the client's format, with evidence for each line and a list of gaps to fix.

The problem

Our QSs spend days every month pulling the application together and it still gets knocked back for lack of backup.

How it works

  1. What comes in

    • Contract sum analysis or activity schedule, previous application and certificate, variation register, daywork sheets, progress records and photos, materials delivery records, cost software exports
  2. What AI does

Pulls values from the registers and progress records into the application template, carries forward cumulative figures, attaches evidence per line and lists items lacking support.

  3. What you get

    • Draft application in the client's format, an evidence pack indexed to each line, and a short list of unsupported items to fix before submission
  4. Who signs it off

Your QS checks the measurement and valuation, decides what goes in and submits it. Commercial judgement on value stays with them.

What it needs to work

  • A consistent variation register and progress records
  • Access to the cost software and shared drive or CDE
  • One agreed application template per contract

If those aren’t in place yet, you’ll hear that before anything gets built.

Who it’s for

  • Main contractors
  • Specialist subcontractors
  • Developers and housebuilders
  • Manufacturers and suppliers
