Plot stage sign-off to trade payment and plot cost report

We take off your hands: tracking plot stages from site updates, working out trade payments against plot rates and charging back defect costs.

You get: plot payments at the agreed rate for your QS to approve, holds and notices on time, and cost per plot and cost to complete for your commercial manager.

The problem

We pay trades for stages that aren't finished and only find out the plot is over budget at the end.

How the steps join up

It starts when: site managers sign off completed plot stages for the weekly or fortnightly pay run.

  1. Turn site managers' voice notes into plot records, issues and daily reports

  2. Track each plot's build stage and publish a weekly plot status

  3. Calculate subcontractor plot payments from signed-off stages

Your team checks and decides at this step.

  4. Hold subcontractor payments until insurances and documents are in date

  5. Issue payment and pay-less notices to subcontractors on time

  6. Recover the cost of defects from the subcontractors responsible

  7. Report build cost per plot and house type against the build budget

  8. Compare materials ordered with materials needed on each job to spot over-ordering and waste

  9. Forecast cost to complete and final margin for each package and job

What you end up with: Trades are paid only for completed stages at the agreed plot rate, holds and notices go out correctly, defect costs are charged back, and the commercial manager sees cost per plot and forecast cost to complete.

Who signs it off: Your site manager signs off stages, your quantity surveyor approves payments and your commercial manager decides contra-charges.

What it needs to work

  • Agreed plot rates and stage definitions
  • Stage sign-off recorded on site

If those aren’t in place yet, you’ll hear that before anything gets built.

Who it’s for

  • Developers and housebuilders
