If you use AI on the job, your terms have to say so

The RICS standard on responsible use of AI in surveying practice has been in force since 9 March 2026. Where AI has a material impact on the service, section 4.3 says you tell the client in writing before you use it, and your terms of engagement cover six points.

If your terms were written before March 2026, they won’t cover this. The pack writes all six points into clause 10, in the version that fits how you work: no AI, AI for supporting tasks only, or AI with a material impact.

Uploading the client’s confidential information to an AI tool? Section 3.1 says you need their written consent first. The pack adds the consent clause and a tick box on the acceptance form.

The standard also asks for an AI policy, a register of the systems you use, a risk register reviewed every quarter, supplier checks and reliability records. The free RICS AI policy pack covers those, ready to edit.

Know your margin before you send it

Put in hours and cost rates by grade. You see the effective hourly rate and the margin as you type, and it turns red if you drop under your own target. Cost rates stay on your device and never go in the documents.

Nothing made up

Leave a box empty and it shows in amber in every document. The pack never writes experience you haven’t got, a credential you don’t hold or a fee you haven’t set.

Percentage of construction value, lump sum split by RIBA stage, monthly post-contract, time charge by grade, or party wall fees per adjoining owner and per award. VAT and invoice stages are worked out for you.

Before you use it

Is the wording checked by a solicitor?

No. It’s a starting draft. Have your own adviser and your PI insurer look over the terms before you rely on them. The full pack comes with a “Read me first” checklist for your own file.

Does it copy the RICS scopes of services?

No. The scope lines are written from scratch. The RICS forms and standards are named in the scope for you to read alongside it, never reproduced.

Where do my answers go?

They’re saved in your browser, on this device. They only leave it in two cases. Downloading a PDF sends the document to our server to make the file. The optional AI wording sends the project details and scope lines, but never your rates or costs.

What if my client is a homeowner?

Pick “consumer” and the terms add the 14-day right to cancel, refunds, the option to start early and a cancellation form, as the Consumer Contracts Regulations 2013 require. The business-only clauses come out.

Can I reuse it for the next client?

Yes. Save each instruction, copy one for a new client with your scope and fees kept, and export the whole library as a file to move it to another computer.

What does the AI do?

Only what you ask it to. Press the button and it writes the opening paragraph of the letter and a few notes on how the scope fits your project. Everything else comes from fixed wording and your answers, so the pack still works if the AI is down.
