Since 9 March 2026, RICS regulated practices using AI that shapes client work need the paperwork to back it up. That means an AI policy, an AI register, a risk register reviewed every quarter, supplier checks and new wording in your terms. Each document maps to a section of the RICS professional standard Responsible use of artificial intelligence in surveying practice (1st edition, effective 9 March 2026). It's all written in plain words, not copied from the standard.

Build your pack

Most of it is tick boxes. Anything you leave blank shows up in amber in the documents, so you can see what still needs filling in.

Tick what your surveyors use AI for and edit the wording so it describes how you actually work. It goes into the policy and the materiality record.

Questions

We only use ChatGPT for emails. Does this apply to us?

Probably less of it. The full rules bite where an AI output could shape what the client gets, like a lease summary you rely on in a report. Tidying up an internal email usually doesn't count. The materiality record in the pack is where you write down which uses meet that test and why, so you can show you thought about it.

Is this approved by RICS?

No. It's a starting pack written in plain words and mapped to the sections of the standard. Your practice still has to adopt it, fill in the amber gaps and review it.

Where does what I type go?

The documents are built in your browser, and your answers are saved on this device only. Three things do leave it. Your website address, so we can fetch your logo and colours. Your work email and practice name, for the daily limit and so we can follow up. And if you press the optional AI button, the tool names and what they're used for go to our AI provider to write the descriptions.

What do I still have to do once I've downloaded it?

Fill in the amber gaps, send each supplier letter and record the answers, rate the four risks with your directors, add the AI clause to your terms of engagement and get everyone to sign the policy. Then open the calendar file so the quarterly risk review doesn't slip.

What happens when I come back next quarter?

The page remembers your answers on this device and opens on the quarterly review. Log who reviewed it and what changed, add or retire tools, rate the risks and record any dip samples or reliability checks. You get the registers back with the review filled in, and a fresh calendar file.

Does it cover terms of engagement and fee proposals?
